Visitor Terms & Conditions  

Important information for visitors to Art Week Riyadh (the “Event”)  

As a potential visitor to the Event (referred to as “you” or “your”), please read these terms and conditions  carefully as they contain important information. By submitting your registration and/or by attending the  Event, you agree to be bound by these terms and conditions. As part of accepting these terms and  conditions, you are also agreeing to abide by our Event Code of Conduct (outlined below).  

Definitions: In these terms and conditions, the following definitions apply:  

● Organizer: The company or entity responsible for organizing and managing the Event. 

● Client: The sponsoring entity or partner working with the Organizer for the Event. 

● Event: The event known as "Art Week Riyadh," including any related activities and venues  associated with it.  

● Visitor (You): Any person registering to attend or attending the Event.  

1. Registration and Acceptance. Your registration (whether submitted directly by you or on your  behalf) constitutes an offer by you to the Organizer to attend the Event in accordance with these  terms and conditions. All registrations are subject to acceptance by the Organizer. If your  registration is received in advance of the Event, it will either (a) be confirmed in writing (including,  without limitation, by email), or (b) if written confirmation is not sent within fourteen (14) days of  the Organizer receiving your registration, be deemed to be confirmed unless we notify you  otherwise. If your registration is received only at the Event itself, it will be confirmed by the act of  the Organizer permitting you entrance to the Event. The Organizer reserves the right to refuse to  accept any registration at its sole discretion. 

2. Badges and Personal Use. Your registration (such as an entry badge or credential) is issued for  your personal use only. You may not sell, transfer, or otherwise give your registration or badge to  others. The Organizer may invalidate any registration or badge that it reasonably believes has  been resold or transferred to someone not the original registrant. 

3. Event Changes. The Organizer reserves the right at any time to change the format, content,  location, venue, timing, or any other aspect of the Event without liability. This includes, without  limitation, the right to change a physical Event to a virtual Event or vice versa, adjust the opening  hours or duration, change the scheduled dates, or replace or alter speakers, exhibitors, or  participants. The Organizer also reserves the right to withdraw acceptance of any registration  after confirmation without liability. 

4. Cancellation by Visitor. Except as expressly set out in these terms and conditions (or as may be  explicitly permitted during a particular Event’s registration process), your registration for the Event  is irrevocable, and you have no right to cancel your registration or obtain any refund.

5. Cancellation or Change by Organizer. The Organizer reserves the right to cancel the Event or change the Event dates at any time and for any reason (whether or not due to causes beyond the Organizer’s reasonable control). If the Event is canceled or postponed, we will, where feasible, provide you with an alternative opportunity to attend. However, any personal arrangements you have made relating to the Event (including travel and accommodation) are at your own risk. The Organizer will not be liable for any costs or losses incurred in connection with such arrangements, even if the Event is canceled or rescheduled. You acknowledge that the remedies set out in this paragraph are your exclusive remedies in the event of cancellation or date change, and all other liability of the Organizer is hereby expressly excluded. 

6. Admission Age and Eligibility. Our Events are principally directed at adult professionals and are generally not intended for children under the age of sixteen (16). The Organizer reserves the right to refuse entry to any person under 16. There may also be certain areas or sessions of the Event where it is inappropriate or impractical for minors to be present (for example, in certain workshops or exhibits), and the Organizer reserves the right to restrict entry to such areas at its discretion. 

7. Right to Refuse Admission or Eject. The Organizer reserves the right, without liability, to refuse admission to or to eject (or, for virtual events, to block access for) any person whom the Organizer, in its absolute discretion, determines is behaving in a manner that is unruly, dangerous, inappropriate, or in breach of these terms and conditions or the Event Code of Conduct. You must comply with all reasonable instructions issued by the Organizer, venue owners, security personnel, and management at the Event. 

8. Photography and Recording by Visitors. We understand that visitors may wish to capture their experience. Casual photography for personal, non-commercial use – for example, taking photos or short videos with a smartphone and sharing them on your personal social media – is generally permitted so long as it is not disruptive, not done for profit, and respects the rights and privacy of others. However, any professional photography, use of professional camera equipment, filming, livestreaming, audio recording, or any transmission of event content for public or commercial purposes is strictly prohibited without the Organizer’s prior written approval. If you engage in any unauthorized filming, recording, or photography, you agree that: (a) you will, upon request, surrender to the Organizer or immediately delete any such unauthorized recordings or photographs, (b) any copyright or other intellectual property rights in unauthorized recordings or photographs shall automatically vest in the Organizer (or be assigned to the Organizer upon creation), and (c) you will hold the Organizer and its Client (including their employees and representatives) harmless from any claims, liabilities, or damages resulting from your unauthorized recording activities. Prior written approval from the Organizer is required for any filming, streaming, recording, or professional photography beyond personal use. 

9. Photography and Publication Permission (Consent to Be Recorded). By attending the Event, you consent to and grant permission for the Organizer and its Client (and their authorized partners) to photograph, film, or otherwise record you during the Event. Such photography and recordings may capture your image, likeness, voice, and statements (collectively, the “Content”). You acknowledge and agree that the Organizer and its Client are the sole and exclusive owners of all rights (including intellectual property rights) in and to this Content. You hereby waive any and all rights or claims you might have in connection with the Content or its use. The Organizer and its Client shall have the right to use, reproduce, edit, display, distribute, broadcast, and

publish the Content, in whole or in part, in any media anywhere in the world for promotional,  marketing, or other lawful purposes related to the Event or the Organizer’s business, without any  further notice or any compensation to you. 

10. Data Protection and Privacy. The Organizer is committed to protecting your personal  information in accordance with applicable laws, including the Saudi Personal Data Protection  Law. Any personal information that you provide to the Organizer as part of Event registration or  attendance will be collected and used for specific purposes, such as arranging and managing  your participation in the Event, ensuring the safety and security of Event attendees, and  providing you with information about the Event (e.g., updates or future event invitations).  Your information will be held securely in the Organizer’s database. The Organizer will only share  your personal information in accordance with a valid legal basis. This may include sharing with  other entities within the Organizer’s group and with trusted third-party service providers or Event  partners for purposes related to the Event (for example, to facilitate Event logistics,  communicate schedules, or for promotional purposes if you have given consent). The  Organizer may also disclose your information to government authorities or regulators if required  to do so by law. 

 For certain Events, exhibitors or sponsors may use lead-capture tools (such as badge scanners)  to collect your details with your consent. If you choose to allow your attendee badge to be  scanned by an exhibitor or sponsor at the Event, you understand that your contact details will be  provided to that third party. Additionally, some sponsored areas or sessions of the Event may  require you to provide personal information to the sponsor as a condition of entry – in such cases,  it will be made clear to you at the time, and by entering those areas you consent to that  information sharing. Please note that the Organizer does not control how external exhibitors or  sponsors use your information once you choose to share it with them, and to the extent  permitted by law, the Organizer disclaims any liability for the actions of those third parties.  However, we will reasonably require such parties to handle your data in accordance with  applicable privacy laws. 

 In accordance with the Personal Data Protection Law of the Kingdom of Saudi Arabia, you have  the right to access, correct, or request deletion of the personal information that the Organizer  holds about you. To make any such request, you may contact the Organizer using the contact  information provided in the Event materials or in the “How to Contact Us” section below. The  visitor agrees that any personal information collected during the Event will be processed  in accordance with the Personal Data Protection Law of the Kingdom of Saudi Arabia and  will not be shared with any third party without prior consent, unless required by law. 

11. Intellectual Property. All intellectual property rights in and to the Event and all materials  distributed at or in connection with the Event (including, but not limited to, the Event name, logos,  program content, presentations, and documentation) are owned by the Organizer, the Client, or  their licensors. Nothing in these terms and conditions grants you any rights to use or license any  trademarks, logos, copyright-protected materials, or other intellectual property of the Organizer or  its Client. You may not record, copy, reproduce, distribute, or republish any Event content or  materials provided to you, except with the prior written consent of the Organizer. Any  unauthorized use of the Event’s intellectual property is strictly prohibited.

12. Governing Law and Jurisdiction. These terms and conditions (and any dispute or claim arising  out of or in connection with them or the Event) shall be governed by the laws and regulations of  the Kingdom of Saudi Arabia. In the event of any dispute arising from these terms or your  attendance at the Event, such dispute shall be subject to the exclusive jurisdiction of the  competent courts of the Kingdom of Saudi Arabia. You agree that you will submit to the  jurisdiction of such courts for the resolution of any disputes. 

13. Assumption of Risk; Limitation of Liability. You expressly assume all risks associated with  your participation in and/or attendance at the Event. The Organizer makes no representations or  warranties (express or implied) regarding the Event, including, without limitation, any conditions,  outcomes, or benefits you might obtain. For example, the Organizer does not guarantee any  particular level of attendance or specific participants, exhibitors, or sponsors at the Event, nor any  particular results or business opportunities from attending. To the fullest extent permitted by  applicable law, all warranties, terms, and conditions are hereby excluded. You agree that the  Organizer, the Client, and their respective employees, officers, and representatives shall not be  liable for any loss, injury, illness, or damage of any kind arising from or in connection with your  attendance at or participation in the Event. This exclusion of liability applies to all direct, indirect,  special, consequential, incidental, or punitive losses or damages, including (without limitation) any  personal injury, damage to property, theft, loss of profits, loss of business opportunities, loss of  data, or loss of goodwill. For the avoidance of doubt, the Organizer shall have no liability  whatsoever for any products, services, or information provided by exhibitors or sponsors at the  Event. These limitations and exclusions of liability apply only to the extent permitted by  applicable law. 

14. Rights and Remedies; No Waiver. All rights and remedies of the Organizer under these terms  and conditions are cumulative (meaning, the Organizer can pursue any and all such rights  available) and not exclusive of any rights or remedies provided by law. These rights and remedies  can only be waived by the Organizer in a specific written waiver. If the Organizer delays or fails to  exercise any right or remedy under these terms, this shall not be interpreted as a waiver of that  right or any other rights or remedies available to the Organizer. 

15. How to Contact Us. If you have any questions about these terms and conditions or need to  contact the Organizer in relation to the Event, please refer to the official Event website for contact  information or use the contact details provided in your registration confirmation. You may also  contact the Organizer’s customer service through the channels indicated in Event  communications (such as an official email or hotline number provided). The Organizer will make  its contact information available on Event materials to ensure that you can reach us with any  concerns or inquiries. 

16. Changes to These Terms. The Organizer may update or amend these terms and conditions  from time to time at its sole discretion. Any amendments will be effective immediately upon  posting the revised terms on the Event’s website or otherwise notifying you of the changes. You  will be subject to the terms and conditions in effect at the time of the Event. It is your  responsibility to review any updates to these terms if notified, although we will endeavor to inform  you of significant changes. By attending the Event, you agree to be bound by the most current  version of these terms and conditions.

Event Code of Conduct  

Having a great experience at Art Week Riyadh is important to us. Whether you are attending, speaking,  exhibiting, sponsoring, or working at the Event, we are committed to providing an environment that is  welcoming, safe, and inclusive for everyone. Safety, respect, and consideration for others are integral to  this commitment. This Event Code of Conduct explains our expectations for participant behavior. Anyone  who behaves in an unacceptable way will be expected to immediately cease such behavior, and  the Organizer reserves the right to take appropriate action, including revoking the person’s  access to the Event without a refund.  

Comfort & Safety at Live Events  

● Never act in a way that puts your own health or safety, or that of other participants, at risk. 

● Follow all applicable health, safety, and security guidelines. For example, review any local health  advisories before attending and adhere to any health measures in place (such as temperature  checks or mask requirements, if applicable).  

● If you are feeling unwell, have a fever, or exhibit symptoms of a contagious illness, we encourage  you not to attend the live event for the sake of others. Please contact the event team to discuss  alternative ways to participate, if available.  

● Obey all emergency procedures and access protocols communicated by the Organizer or venue  (including respecting any age restrictions or special entry requirements for certain areas). Do not  help or enable anyone to bypass security measures or restricted areas.  

● Do not tamper with or obstruct any safety signage, emergency exits, or safety equipment at the  venue. These are in place for everyone’s protection and must remain visible and accessible at all  times.  

● Support a safe environment by promptly reporting any behavior, condition, or item that appears  dangerous, unsafe, or suspicious to Event staff or security personnel.  

A Respectful Environment 

 We have zero tolerance for any form of harassment, discrimination, or abusive behavior at the Event  (whether it occurs in person, in writing, or online). This expectation applies to all Event venues, sessions,  social gatherings, and digital platforms associated with the Event. Examples of prohibited conduct  include, but are not limited to:  

● Discriminatory or offensive comments or actions related to an individual’s race, color, ethnicity,  nationality, gender, gender identity or expression, sex, sexual orientation, religion, age, disability,  or marital status.  

● The use of slurs, obscene gestures, or highly inappropriate language. This includes any form of  verbal harassment, abuse, sexually explicit or vulgar language, as well as the use of profanity or  slurs in any context that could offend or hurt others.  

● Displaying or distributing offensive materials. Any content (for example, images, signs, or  documents) that is harassing, abusive, sexually explicit, discriminatory, derogatory, or demeaning  is strictly prohibited.  

● Unwelcome physical contact or unwelcome sexual attention. This includes touching someone  without consent, or making sexual propositions, comments, or gestures toward someone who has  not invited such attention.

● Stalking, following, or deliberately photographing/recording someone in a way that is meant to  harass or cause discomfort.  

● Threatening, intimidating, or menacing behavior. Any threats of harm or acts intended to threaten  or intimidate another person (whether verbal, written, or physical) are not allowed. 

● Physical assault or any acts of violence. This includes pushing, shoving, or using physical force of  any kind against another person.  

● Possession or display of any weapon or any object that could be reasonably viewed as a weapon  or used to intimidate others.  

● Deliberate damage to venue property or to the personal property of another attendee. 

● Organizing or participating in any activity with the intent to disrupt the Event or disturb the peace  (for example, assembling a group to engage in a protest that blocks entrances or disrupts  presentations without authorization).  

● Do not disrupt presentations or interfere with others’ participation. Deliberate or sustained  disruption of any part of the Event (such as heckling speakers, interrupting presenters or  performers, or causing excessive noise during sessions) is unacceptable. Everyone deserves the  chance to experience the Event without undue interference.  

● Do not prevent others from participating safely. You should not engage in any behavior that  prevents other attendees from attending sessions, viewing exhibits, or otherwise participating in  the Event. Never act in a way that endangers others or hinders their safety or full participation.  

Public Decency & Local Regulations 

 All attendees are expected to adhere to the Public Decency Regulations of the Kingdom of Saudi  Arabia, as well as all applicable local laws while at the Event:  

● Appropriate Attire: Dress modestly and appropriately in accordance with local cultural norms  and legal requirements. Clothing should be respectful of Saudi Arabia’s public decency laws – for  example, avoid outfits that may be considered revealing, offensive, or otherwise not permitted in  public settings.  

● Respectful Conduct: Behave in a manner that is respectful of local customs and regulations.  Refrain from any actions or language that could be considered indecent, profane, or offensive  under Saudi law or culture. This includes public behavior, gestures, and interactions. All forms of  public indecency or violation of local laws (even if not explicitly mentioned in this Code) are not  tolerated at the Event.  

Reporting Concerns 

 If you experience or witness any behavior that violates this Code of Conduct or have any concerns  about someone’s welfare at the Event, we urge you to report it to the Event staff or security immediately.  The Organizer will handle reports as discretely and promptly as possible. Contact details for reporting  concerns or seeking help can be found on the Event’s official website and in the information provided with  your registration materials. You can also approach any member of the Event management or security  team on-site to report an issue. We take all reports of misconduct seriously and will investigate and  address them as appropriate to maintain a safe and respectful environment for everyone.  

By attending Art Week Riyadh, you agree to uphold this Code of Conduct. The Organizer may take any  action it deems necessary to enforce these standards, including issuing warnings or expelling violators  from the Event without refund. Thank you for contributing to a positive experience for all participants.
